Job Overview

Serve as the primary liaison for chapters and local networks, ensuring successful planning and execution of virtual and in-person events. Collaborate with internal teams and volunteer leaders to implement processes, strengthen partnerships, and deliver high-quality experiences. Reports to the Manager of Chapter and Volunteer Relations and works across the organization.

Responsibilities

  • Provide operational and logistical support to volunteer leaders for professional development and networking activities.
  • Handle logistical aspects of event planning, facilitation, and reporting, including hosting webcasts, moderating chats via Zoom, and training presenters.
  • Oversee in-person event administration such as ordering, vendor monitoring, catering, attendee participation, registration, sponsorship, and collateral fulfillment.
  • Manage post-event activities, including surveys, financial trackers, and ensuring sponsor payments.
  • Collaborate with membership, education, marketing, and IT teams to meet leader and member needs.
  • Plan and organize events within financial and scheduling constraints, upholding the organization’s mission and vision.
  • Conduct marketing, social media, and communications efforts for events.
  • Meet regularly with leaders to coordinate and ensure event success.
  • Oversee events, resolve problems quickly, and plan for potential scenarios impacting success.
  • Manage stakeholder needs and maintain flexible hours for various time zones.
  • Perform other assigned duties.

Qualifications

  • Bachelor’s degree or equivalent combination of education and experience.
  • 2+ years of professional experience, preferably in event operations.
  • Excellent written and oral communication skills.
  • Proven skills in project and event management, organization, and multi-tasking.
  • Strong decision-making and analytical abilities.
  • Proactive, solutions-based problem-solving approach.
  • Collaborative multi-tasker with attention to detail in a fast-paced environment.
  • Proficiency with Microsoft Office and Zoom; familiarity with Higher Logic preferred.
  • Association/nonprofit and/or regulatory/health-science experience preferred.
