This role involves serving as the central point for all operational topics and cross-departmental projects, optimizing tools and processes, managing onboarding and offboarding, and supporting strategic initiatives, particularly in artificial intelligence, to ensure efficient company operations.
Responsibilities
- Act as the central contact for operational topics and cross-departmental projects that need resolution.
- Manage and optimize tools and interfaces such as Hubspot, Notion, Zapier, Aircall, and Slack, ensuring seamless integration and usage.
- Handle onboarding and offboarding processes, manage access and permissions, and maintain a high level of security in the tool landscape.
- Lead operational project management for cross-functional initiatives, from planning and prioritization to execution, success measurement, and continuous optimization.
- Work data-driven by regularly analyzing metrics and processes to identify bottlenecks and optimization opportunities.
- Support technical and strategic special projects, especially in artificial intelligence (e.g., AI-based telephony, building and optimizing internal AI agents).
Qualifications
- Ability to find the fastest and most pragmatic solutions and make decisions under time pressure.
- Experience in planning, coordinating, and implementing projects, including stakeholder management and clean tracking of results.
- Strong interest in process automation and AI, ideally with initial experience using tools like Zapier, Make, OpenAI, or Claude.
- Technical affinity, quick learning of new tools, and decision-making based on data and KPIs.
- Proactive problem-solving and taking responsibility without needing instructions.
- Organized and structured working style, maintaining overview of complex processes with a strong understanding of efficient workflows.
