Responsibilities
- Own interview scheduling and rescheduling across time zones and teams, ensuring accuracy, timeliness, and smooth execution including rooms, links, and AV checks.
- Serve as the primary point of contact for candidates, providing clear logistics, answering questions, and upholding the brand throughout the process.
- Partner with recruiters, hiring managers, EAs, and interviewers to align on plans, resolve conflicts, and keep stakeholders informed.
- Maintain system hygiene in ATS and scheduling tools by updating candidate statuses and templates with high precision.
- Identify small process improvements to increase speed, quality, and candidate care in coordination workflows.
- Provide coverage and flexibility for teammates during PTO, leaves, or spikes in demand as needed.
Qualifications
- 1+ years of experience in recruiting coordination or as an executive assistant.
- Experience with tools like Google Suite, Zoom, Slack, Greenhouse, and Guide (or similar ATS/scheduling tools).
- Proactive, collaborative spirit and “no task too small” mentality.
- Eye for detail, excellent organizational skills, and ability to prioritize in real time with last-minute changes or busy timelines.
- Ability to work independently and cross-functionally with partners across all levels of the company.
