Job Overview

This role involves delivering a seamless candidate experience by managing end-to-end interview logistics, communicating with candidates and interviewers, and collaborating with recruiters and hiring teams. It is a hands-on, detail-oriented position in a fast-paced environment focused on scheduling, problem-solving, and process improvements. This is a 1-year contract with potential renewal.

Responsibilities

  • Own interview scheduling and rescheduling across time zones and teams, ensuring accuracy, timeliness, and smooth execution including rooms, links, and AV checks.
  • Serve as the primary point of contact for candidates, providing clear logistics, answering questions, and upholding the brand throughout the process.
  • Partner with recruiters, hiring managers, EAs, and interviewers to align on plans, resolve conflicts, and keep stakeholders informed.
  • Maintain system hygiene in ATS and scheduling tools by updating candidate statuses and templates with high precision.
  • Identify small process improvements to increase speed, quality, and candidate care in coordination workflows.
  • Provide coverage and flexibility for teammates during PTO, leaves, or spikes in demand as needed.

Qualifications

  • 1+ years of experience in recruiting coordination or as an executive assistant.
  • Experience with tools like Google Suite, Zoom, Slack, Greenhouse, and Guide (or similar ATS/scheduling tools).
  • Proactive, collaborative spirit and “no task too small” mentality.
  • Eye for detail, excellent organizational skills, and ability to prioritize in real time with last-minute changes or busy timelines.
  • Ability to work independently and cross-functionally with partners across all levels of the company.
